External Engagement Coordinator

Asphalt Green is seeking a dynamic individual to join the Marketing Department as the External Engagement Coordinator. This role will be instrumental in the execution of Asphalt Green’s external communications strategy including event participation (street fairs, conferences, school fundraisers), partnerships, and media coverage. NOTE:  This is a hybrid position (3 days on site required) that will have occasional field work.

 

Responsibilities:

Event Coordination

  • Secure and support event day staff with marketing materials, product/service information, and updates to enhance their ability to address inquiries and provide accurate information.
  • Function as Asphalt Green ambassador at external events as needed.
  • Manage event lead generation process including updating CRM and communicating with relevant internal parties.
  • Create and manage library of external event materials.
  • Track external event budget.
  • Complete event documentation including participation forms and post-event recaps.

Partnerships

  • Collaborate with Senior Director of External Engagement and Business Development Manager to research, contact, and manage relationships to grow membership affiliations.
  • Establish and maintain local business partnerships, assist with community outreach.
  • Take lead in school and community auction participation including selection, execution, and tracking.
  • Assist in managing partners, VIP guest lists (politicians, athletes), etc. for Asphalt Green-hosted events.

Public Relations

  • Maintain media contact database.
  • Track relevant trends and assist in pitching Asphalt Green news stories
  • Track press coverage.
  • Create media reports for use by marketing and leadership teams.
  • Assist in creation and presentation of media reports.

General

  • Conduct market research as requested.
  • Proofread external content to ensure accuracy and adherence to brand guidelines.
  • Coordinate with marketing team to develop visual assets, talking points, and statistics that complement external communication materials.
  • Coordinate internal meetings to ensure timely communication and logistics management surrounding external engagement initiatives.
  • Assist Senior Director of External Engagement and Chief Marketing Officer in preparing for community board meetings, etc.
  • Monitor and analyze metrics and feedback to assess the effectiveness of external communications efforts.
  • Administrative duties as requested.

 

Qualifications:

  • Bachelor's degree in communications, marketing, public relations, or a related field is preferred.
  • Previous experience in communications, marketing, public relations, or a similar role is preferred.
  • Excellent written and verbal communication skills with exceptional attention to detail and ability to adhere to brand guidelines.
  • Strong organizational and project management skills, with the ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Proficient in using various communication tools, including content management systems and media databases.
  • Familiarity with graphic design principles and basic knowledge of Adobe Creative Suite is a plus.
  • Strong interpersonal and networking skills, comfortable making cold calls.
  • Ability to work collaboratively across teams and departments, serving as an effective liaison between different stakeholders.
  • Knowledge of the sports and fitness industry or nonprofit sector is desirable but not mandatory.
