Development Coordinator

Asphalt Green is an iconic 50-year-old not-for-profit New York City institution that provides the transformative gifts of sports, fitness, and play to individuals of all ages, backgrounds, and abilities.

We are looking to hire a Development Coordinator to fulfill a broad range of core administrative and programmatic responsibilities and assignments in support of the organization's ambitious fundraising efforts. Reporting to the Chief Development Officer, the Development Coordinator will support the organization’s efforts to deepen engagement with Asphalt Green donors and volunteers and to cultivate philanthropic support for Asphalt Green.

Responsibilities

  • Maintains annual giving, peer-to-peer fundraising, and volunteer ambassadors program webpages and associated tasks on a daily basis.
  • Supports annual gift donor acquisition efforts, and stewards community-level donors.
  • Drafts, collects, and coordinates targeted messaging, impact stories, personal stories, and written content for social media and other forms of communication in support of the organization’s fundraising goals.
  • Manages daily gift administration, including the processing of gifts to designated funds, gift receipts and record-keeping, and documentation of in-kind gifts.
  • Drafts donation acknowledgment letters, secure signatures from Asphalt Green leadership, and ensures timely delivery to all donors.
  • Provides supporting activities required to prepare, submit, and manage gift proposals to donors and donor prospects.
  • Prepares materials, profiles, and briefings for donor cultivation and solicitation meetings.
  • Conducts research and analysis on foundations, corporations, and individual donors and prospects using screening tools and online searches.
  • Supports donor communications.
  • Prepares correspondence (e.g. letters, memos, and mail merges), and manages stewardship processes and communications.
  • Handles general inquiries from donors, prospective donors, volunteers, and colleagues with timely, courteous, clear, and direct communications.
  • Assists with preparation of proposals, impact reports, and PowerPoint presentations to individual, foundation and corporate donors and prospects.
  • Tracks and manages Development-related expenses and the reimbursement of expenses for the development team.
  • Conducts special projects as assigned. Projects and assignments will vary, and the capacity to be proactive, diligent, and thorough will be essential

Prospect Data Management

  • Manages record maintenance in the donor database (Salesforce) and updates donor and philanthropic gift data.
  • Manages development team donor/prospect portfolios by documenting the movement of donors through the cultivation cycle and tracking qualified/disqualified leads in the database. Generates donor and prospect lists from the database by applying requested criteria.
  • Prepares gift and data reports, as needed.
  • Exercises proficiency in high-quality data reporting.

Events Management

  • Assists with the execution of donor cultivation and fundraising events.
  • Assists with management of day-of-the-event for both on-site and virtual events, including occasional evenings and weekends as required.
  • Keeps track of the status of sponsorship solicitations.
  • Coordinates staff volunteers and tracks the assignment and fulfillment of event duties and timelines.
  • Manages the creation and review of all mailing lists.
  • Manages the deployment of event email communications in Salesforce.
  • Tracks event responses and analytics.
  • Develops guest bios and briefings.
  • Helps to coordinate production of print/electronic collateral including invitations, programs, signage, etc.

Qualifications

  • Bachelor's degree, or equivalent. 2 or more years of work experience; fundraising experience is preferred.
  • Excellent writing and oral communications skills.
  • Skilled in PowerPoint, Excel, Word, and CRM databases.
  • A great team member and colleague who works well collaboratively and independently.
  • Results-oriented and exhibiting demonstrable initiative and a strong work ethic.
  • Demonstrated ability to manage multiple projects simultaneously, knowing how to prioritize and adjust timetables to meet deadlines.
  • Superior organizational skills, with excellent attention to detail, including consideration of audience, and error-free writing and consistency in style across different content formats.
  • Demonstrated ability to quickly and concisely synthesize large amounts of information from multiple sources.
  • Experience with Salesforce is preferred. Ability to use office equipment.
